This document sets forth the cancellation, refund, and modification terms applicable to registration and participation in the XVIII SDDN Meeting (hereinafter, the “Event”). Registration for the Event implies full acceptance of these terms.


1. Purpose of the Policy

This Refund Policy regulates the procedures applicable to registrations for the XVIII SDDN Meeting, to be held from 21 to 23 October 2026 in Pamplona, organised by the Spanish Drug Discovery Network (SDDN).


2. Right of Withdrawal

According to Article 103(l) of the Spanish Consumer Protection Act (Ley General para la Defensa de los Consumidores y Usuarios), the legal right of withdrawal does not apply to leisure or event services that take place on a specific date. Nevertheless, the organisation offers a voluntary cancellation system as detailed below.


3. Cancellation and Refund Conditions

a) Cancellations before 15 July 2026:
– 100% refund of the paid amount, excluding bank fees.
– For international payments (non-SEPA or in currencies other than EUR), any commissions or fees applied for processing the refund will be entirely borne by the participant.

b) Cancellations between 15 July and 1 September 2026:
– 50% refund of the paid amount.
– Bank fees are non-refundable.

c) From 1 September 2026 onward:
– No refunds will be issued from this date forward.


4. Participant Substitution

A registration may be transferred to another participant free of charge if requested before 20 September 2026, and the organisation is formally notified of the change.


5. Event Cancellation or Modification by the Organisation

If the event is cancelled due to reasons attributable to the organisation, 100% of the registration fee will be refunded. Personal costs not included in the event (e.g., travel, accommodation, meals, etc.) are not refundable.


6. Refunds and Bank Fees

Refunds will be issued using the same payment method used in the original transaction. Bank fees applied during payment or refund processing are non-refundable.

TPV (Card Payments):
– Consumer cards (personal private use): 0.20%
– Non-consumer cards (companies/freelancers): 0.50%
– International card payments: 0.85%

Bank Transfers:
– SEPA transfers: no reception fee
– Non-SEPA transfers: 0.20% (minimum €12)
– Currency exchange fee: 0.20% (minimum €3)

For all international payments, any charges applied by banks during the refund process will be deducted from the refundable amount and assumed by the participant.


7. Procedure for Requesting Cancellations or Changes

Requests must be sent to: info@sddn.es and must include full name, registration email, order number, and reason for the request.


8. Claims and Dispute Resolution

The event organisation offers participant support through the above email addresses and provides official complaint forms upon request. Participants may also resort to alternative dispute resolution systems or the relevant consumer authorities in case of disagreement.


9. Modification of the Policy

The event organisation may update this policy when required due to legal or banking changes. Any modifications will be published through the official event communication channels.


7. Acceptance of Terms

By proceeding with the payment, I declare that I have read and accepted the Refund Policy for the event, including the cancellation conditions and the fact that bank fees are non-refundable.
